Our Booking and Payment Policy
To ensure that every traveller receives the attention, professional guidance, and personalized service they deserve, we have established a structured booking process policy for all our lodge safari adventures.
Our booking process policy is designed to prioritize serious travellers, streamline reservations, and allow our team to dedicate sufficient time to creating well-organized and memorable travel experiences.
1. Initial Inquiry and Availability Confirmation
The process begins when travellers contact us with their preferred safari or Kilimanjaro trekking dates, either to join an existing group departure or to arrange a private tour.
Our reservations team reviews the requested dates and responds based on availability. There are two possible outcomes:
Available: We confirm that we can accommodate the requested dates.
Not Available: We inform the traveller that the requested dates cannot be accommodated.
2. Initial Commitment Payment – USD 99
Once availability has been confirmed, travellers who wish to proceed are required to make an initial payment of USD 99.
This payment is non-refundable and forms part of the total safari or trekking package cost. It is not an additional charge on top of the advertised tour price.
Why is this payment required?
Once the USD 99 payment is received, the traveller officially becomes our client. This marks the beginning of our personalized planning and reservation services.
From this point onward, our team will be fully committed to:
Responding to all questions and providing detailed information about the trip.
Offering professional advice and guidance throughout the planning process.
Discussing itinerary adjustments and special requests.
Helping clients refine their travel plans until they are completely satisfied with the proposed arrangements.
Coordinating the necessary preparations for their safari adventure.
3. Accommodation Reservations and Second Payment – USD 300
Once the client has reviewed and approved the proposed arrangements, we proceed with reserving the required accommodation and other relevant services, depending on the package.
Accommodation reservations can involve coordination with several lodges, hotels, and camps, particularly for multi-day safaris.
Once the reservations have been successfully completed, we notify the client and request the second payment of USD 300.
4. Official Tour Confirmation
Upon receiving the second payment, we prepare and issue an official Tour Confirmation Letter, which is sent directly to the client.
This confirmation serves as formal documentation that the booking process has been completed and the client's arrangements have been confirmed.
At this stage, the booking is officially considered confirmed.
5. Payment of the Remaining Balance
The outstanding balance is payable upon the client's arrival in Tanzania, before the safari or Kilimanjaro trek begins.
For your convenience, we accept the following payment methods:
Credit and Debit Cards: VISA, Mastercard, and American Express (AMEX).
Cash Payments: US Dollars (USD), or its equivalent in Euros (EUR), or British Pounds (GBP).
Why This Booking Policy?
We receive as many as 30 travel inquiries per week, covering different safari destinations, travel dates, group departures, and Kilimanjaro climbing packages.
Although we have a dedicated reservations team of five staff members, handling every inquiry in detail requires considerable time, professional attention, and coordination.
Our responsibility goes beyond simply answering questions. We invest time in checking availability, preparing itineraries, providing recommendations, discussing adjustments, coordinating accommodation reservations, and ensuring that every confirmed client receives the best possible planning experience.
For this reason, our booking policy helps us distinguish between general inquiries and travellers who are genuinely ready to proceed with their travel arrangements.
The USD 99 initial commitment allows us to allocate dedicated time and resources to clients who have confirmed their intention to travel, rather than spending the majority of our time handling inquiries from individuals who may only be comparing prices or exploring options without a clear intention to book.
We believe that serious travellers deserve serious attention.
By following this process, we can maintain a high standard of customer service, manage our reservations efficiently, and dedicate the necessary resources to ensuring that every confirmed safari or Kilimanjaro adventure is carefully planned and professionally coordinated.
We appreciate your understanding and cooperation, and we look forward to helping you plan an exceptional experience in Tanzania.
